Responsibilities
Perform routine administrative duties including data entry, document filing, scanning, and email management. Coordinate and track procurement deadlines and communicate updates to staff. Prepare progress reports and summaries related to procurement activities. Schedule and participate in procurement meetings. Respond to inquiries from end users and follow up on procurement discrepancies. Provide basic procurement training and data entry assistance to end users. Ensure accurate and timely completion of purchase requests via SharePoint. Maintain contacts with vendors for invoices, insurance certificates, and order packing slips. Connect with division staff to obtain necessary approvals and signatures. Coordinate with the Bureau Procurement team to track vendor payments and notice of awards. Solicit quotes from vendors and coordinate vendor selection. Integrate with vendors to resolve issues regarding goods, services, or account payable. Maintain liaison with other divisions for purchase alignment.
