Operations Specialist
What this job involves:
The Operations Specialist plays a critical role in monitoring and managing building systems to ensure operational continuity and safety across JLL's portfolio. In this position, you'll serve as the technical guardian of critical building infrastructure, maintaining constant vigilance over mechanical systems, fire and life safety equipment, and Building Automation Systems (BAS). Your work directly impacts the safety and comfort of building occupants while supporting seamless business operations for our clients. You'll collaborate with field teams, vendors, and stakeholders to resolve incidents, coordinate maintenance activities, and ensure every system operates at peak performance. What your day-to-day will look like:
• Monitor and manage critical alarms related to building mechanical infrastructure, fire, and life safety systems through Building Automation Systems (BAS), responding swiftly to ensure operational continuity
• Conduct proactive virtual tours of facility systems to verify proper operation and maintain working knowledge of BAS functionality across multiple buildings
• Track, escalate, and communicate incidents with potential business disruption through established protocols and communication channels to keep all stakeholders informed
• Provide technical support to field operations by troubleshooting equipment using BAS data, evaluating trend reports, and performing system overrides when necessary to restore normal operations
• Support and coordinate building shutdown activities via BAS, ensuring timely notifications to stakeholders and seamless execution of planned maintenance work
• Validate proper approvals for vendor work prior to commencement, maintaining compliance with safety and operational protocols
• Receive, generate, and process work orders in the designated system, dispatch technicians efficiently, and follow up to ensure resolution
• Prepare, maintain, and issue accurate shift reports that capture critical operational information and ensure seamless communication across teams
• Deliver exceptional customer service in all interactions, maintaining a client-focused approach that builds stakeholder satisfaction and trust
Required qualifications:
• High School diploma or GED equivalent
• Strong proficiency in computer applications, including Microsoft Word and Excel for reporting and documentation
• Solid understanding of technology, software applications, and computer systems with ability to learn new platforms quickly
• Ability to analyze system operations, identify malfunctions, and take corrective action under pressure
• Excellent written and verbal communication skills to effectively coordinate with diverse stakeholders
• Strong time management, multi-tasking, and organizational skills with exceptional attention to detail
• Self-starter capable of thriving in a fast-paced, high-volume environment where priorities can shift rapidly
• Strong customer service orientation and interpersonal skills that support positive relationships with colleagues and clients
• Ability to remain calm and effective during stressful or emergency situations, making sound decisions quickly
• Flexible schedule availability, including nights and weekends as required
Preferred qualifications:
• Degree or coursework in a technology-related field from an accredited institution
• Hands-on experience with Building Automation Systems (BAS) in commercial or institutional environments
• HVAC experience or technical understanding of mechanical building systems
• Previous experience in facilities operations, critical systems monitoring, or technical support roles
