What this job involves:
As a Facility Document Management Specialist at JLL, you'll serve as the cornerstone of our facility documentation systems, transforming complex architectural and engineering blueprints into organized, accessible data that powers informed decision-making. This fully remote position places you at the intersection of technical document interpretation and systematic data management, where your meticulous attention to detail directly supports facility operations and compliance across our portfolio. You'll spend your days analyzing construction drawings, extracting critical information from title blocks and technical specifications, and building comprehensive databases that connect drawings to physical spaces and equipment. What your day-to-day will look like:
• Review and interpret architectural, mechanical, electrical, and plumbing blueprints to extract essential project information including drawing numbers, revision dates, architect and engineer details, and technical specifications
• Maintain and update Microsoft Access databases with extracted blueprint data, ensuring accuracy and consistency while mapping relationships between drawings, facility spaces, and equipment systems
• Develop and manage Excel-based tracking systems to monitor document processing progress, categorize drawings by building area or system type, and organize technical data into formats that support operational planning
• Conduct thorough quality control reviews by verifying extracted data against source documents, maintaining version control protocols, and documenting revision histories to ensure stakeholders access current information
• Create data validation processes and implement systematic checks to maintain information integrity before final database entry
• Collaborate remotely with project managers and facility teams through virtual meetings and electronic correspondence, providing regular status updates on documentation activities
• Troubleshoot incomplete or ambiguous document information using problem-solving skills and technical knowledge of building systems
• Manage multiple document sets simultaneously while maintaining productivity standards and meeting project deadlines in an independent work environment
Required qualifications:
• Demonstrated ability to read and interpret architectural and engineering blueprints, construction drawings, and technical specifications across multiple building system types
• Advanced proficiency in Microsoft Excel including formulas, data validation, pivot tables, conditional formatting, and management of large datasets
• Working knowledge of Microsoft Access database systems with experience in data entry, query creation, and basic relationship mapping between tables
• Exceptional attention to detail with proven capacity to maintain accuracy while processing high volumes of technical documents under deadline pressure
• Strong organizational and time management skills with ability to prioritize tasks and manage multiple projects simultaneously in a remote work environment
• Self-motivated work approach with demonstrated track record of maintaining productivity and meeting deliverables without direct on-site supervision
• Excellent written and verbal communication skills for effective remote collaboration and professional correspondence
Preferred qualifications:
• Previous experience in facility management, construction administration, document control, or related technical documentation roles
• Familiarity with building systems including HVAC, electrical, plumbing, and structural components and their standard representation on construction drawings
• Experience with document management software platforms, building information management (BIM) systems, or computer-aided design (CAD) file viewing applications
• Associate degree or professional certificate in drafting, construction management, facility management, architectural technology, or related technical field
• Track record of successful remote work demonstrating independent work habits, self-direction, and effective virtual collaboration
• Background in quality assurance or quality control processes applied to technical documentation or data management workflows
