Job Description – Assistant Facility Manager
• Manage the day-to-day facility operations to ensure smooth business continuity.
• Oversee housekeeping, security, engineering, pantry, and other soft and hard facility services.
• Ensure compliance with agreed Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) across all facility services.
• Monitor vendor performance against SLAs, conduct regular performance reviews, and implement corrective actions where required.
• Ensure preventive and corrective maintenance of building systems, utilities, and infrastructure.
• Manage vendor contracts, service delivery, and contract compliance.
• Monitor facility budgets, control operational costs, and optimize resource utilization.
• Ensure compliance with statutory, health, safety, fire, and environmental regulations.
• Handle space planning, office moves, and workplace management activities.
• Coordinate with internal stakeholders to address facility-related requirements and ensure high levels of customer satisfaction.
• Manage facility assets, utilities, inventory, and workplace resources effectively.
• Plan and execute repair, maintenance, and renovation projects with minimal business disruption.
• Conduct regular facility inspections, quality audits, and service reviews to maintain operational excellence.
• Prepare operational reports, MIS, SLA performance reports, and management dashboards.
• Coordinate internal and external audits and ensure timely closure of audit observations.
• Support business continuity planning, emergency preparedness, and crisis management.
• Drive continuous improvement initiatives to enhance operational efficiency, service quality, and employee workplace experience.
• Resolve escalations related to facility services within the defined SLA timelines.
• Ensure timely invoicing, vendor payments, and documentation as per organizational policies.
